Job Summary:

The Logistics Executive – Shared Services will be responsible for managing and coordinating import activities for the Business Unit (BU) in UAE. The role involves handling shipments from various international suppliers, ensuring smooth customs clearance, documentation accuracy, and timely deliveries to customer. The individual will collaborate with freight forwarders, customs agents, and internal teams to optimize the import process, reduce costs, and maintain compliance with regulatory requirements.

Import Operations & Shipment Coordination:

  • Oversee end-to-end import operations from suppliers in China/ Europe etc to UAE ports.
  • Coordinate with suppliers, freight forwarders, and clearing agents for timely dispatch and delivery of goods.
  • Ensure efficient booking and scheduling of shipments to avoid delays.
  • Track shipments and provide real-time updates to relevant stakeholders.

Documentation & Compliance:

  • Prepare and verify all required shipping and customs documentation, including invoices, packing lists, bills of lading, and certificates of origin.
  • Ensure compliance with UAE import regulations, customs duties, and HS code classifications.
  • Work with freight forwarders to facilitate clearance and mitigate any clearance issues.
  • Maintain accurate records of all import transactions and documents for audit and compliance purposes.
  • Negotiate rates with freight forwarders and shipping lines to optimize costs.

Stakeholder Communication & Coordination:

  • Act as the key liaison between suppliers, freight forwarders, internal sales team.
  • Provide regular updates to business units on shipment status, delays, or issues.

Process Improvement & Reporting:
  • Generate and analyze reports on shipment lead times, freight costs, and service performance.

qualifications & Skills:

Bachelor’s degree in any field with relevant experience
5+ years of experience in logistics, freight forwarding, or import operations,
Strong knowledge of import regulations, customs clearance procedures, and Incoterms.
Proficiency in ERP systems and Microsoft Excel.
Excellent communication, negotiation, and problem-solving skills.
Ability to handle multiple shipments and work under tight deadlines.
